Event Production Department

Department: Event Production Department.

Location: Remote/In-person.

The Event Production Department is the backbone of any successful event, handling the detailed schedule and smooth execution of all EHW activities. Their responsibilities include coordinating with venues, setting up equipment, and managing other needs such as sound, lighting, and visuals. They ensure everything is ready for the week, from layouts and safety measures to working with vendors like caterers and decorators.

On the event day, the team oversees on-site operations, ensuring schedules run smoothly and attendees have a seamless experience. From supervising staff and troubleshooting issues to managing registration and crowd flow, they ensure every detail is handled. Post-event, they wrap up operations, evaluate success, and identify areas for improvement. Their work ensures the event is polished, engaging, and memorable.

As a Location Manager, you will be take charge of several responsibilities within the Event Production department to ensure a pleasurable experience for the attendees of the EHW. These may include but are not limited to:

Responsibilities

Venue planning & booking (Presentation Halls, Demonstration Location, Public Day Location, Camping)
Coordination with Technical for location requirements and safety guidelines
Risk identification, permits, AV equipment, on-site equipment/support @ Demonstration & Public Day locations
On-site safety measures (fire extinguishers, barriers,...)
On-site catering
Track setup weeks: arrival of teams, on-site support
Advertise the event and organize any post-event activities, like an afterparty

Requirements

As a Location Manager, to fulfill all your responsibilities, it is important you are:

Able to speak English fluently. It is highly desirable that you speak Dutch.
Available during the EHW (14 - 20 July 2024) and at least part-time available the preceeding (7 - 13 July 2025) or succeeeding week (21 -28 July 2025) on site.
